The Executive Assistant will provide high-level administrative support to the SVP, Chief Communications Officer (CCO) and SVP HR Global Functions and support other communications department administrative and processes. Reporting directly to the CCO, the Executive Assistant serves a critical role in the overall operations of the communications function, coordinating and managing the executive schedule and outreach, meeting arrangements, documentation, and projects.
The ideal candidate is experienced, proactive and highly detailed oriented, with strong communications skills and strong ability to build relationships at all levels. This position requires the Executive Assistant to perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion and judgment. Strong integrity is essential, and the candidate must be comfortable working in a high energy, collaborative, diverse, professional environment. The successful candidate will also be organized, efficient, proactive, and resourceful; be able to develop strong relationships with external clients, vendors, partners and associates; have great communication skills; have demonstrated the ability to take initiative and accept responsibility; and be able to make decisions in accordance with the practices of the company.
This role is on site in Franklin Lakes, NJ.
Job responsibilities include:
Coordinate and manage the CCO's and SVP HR’s schedule by planning and scheduling meetings, prioritizing functions and appointments; ensure that meetings, deadlines, presentations and logistics are handled seamlessly; ability to re-work and de-conflict calendar schedule and identify knowledgeable individuals to attend meetings on behalf of the CCO. Manage sensitive matters with a high level of confidentiality.
Support meeting agendas for the CCO and SVP HR, including related documents and materials, and arrange necessary travel and accommodations. Prepare and process expense reports.
Screen incoming requests for the CCO and SVP HR where needed respond to requests by gathering and providing information and referring to the appropriate staff.
Research, collect and analyze information as needed.
Assist in preparing and managing presentations.
Proofread communications and distribute on behalf of the communications department; coordinate billing, vendor and support the billing management process.
May attend meetings with the CCO/SVP HR, as requested.
Experience:
High school diploma and a minimum of 6 (six) years' experience in the administrative professional field or a Bachelor's degree with minimum 2 (two) years' experience in the administrative professional field
Experience supporting a Chief Communications Officer / senior Executive Communications Leader or equivalent senior business or functional leader (IR, CMO, etc) in a public company preferred, as well as supporting multiple leaders in a multi-functional, fast-paced environment, preferably at a progressively responsible and/or corporate level (matrixed organization)
Understand the sensitive nature of working in the executive office and have good judgement, problem solving skills and maintain the highest levels of confidentiality
Advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel) and intranet/internet proficiency
Experience with Concur (or similar) travel and expense reporting system preferred
Strong integrity is essential, and the candidate must be comfortable working in a high energy, collaborative, diverse, professional environment
Exceptional organizational skills and can prioritize work (and information) and follow through on commitments with diplomacy and judgement
Ability to work independently, solve problems, foresee future needs and be proactive and maintain the highest levels of confidentiality.
Demonstrated ability to manage multiple administrative projects and initiatives; experience in supporting a variety of executive levels, management level and administrative support within an organization
Experience in a fast-paced, deadline-oriented environment and strong attention to detail is required to proofread, distribute documents/communications to a broad audience.
The flexibility to work outside of traditional working hours may be necessary at times.
