About the role:
In this role as a Senior Billback/Rebate Specialist (bilingual FR EN), you will work closely with Contracts Sales, Sales Operations, Customer Intelligence, North American Shared Service Centre (NASSC) and other functional teams within BD. The successful candidate will collaborate with various teams, including our distributors whom you will support with end-to-end billback process with minimal errors, ensuring reliable and accurate end user sales data. You will bring a high level of attention to detail and critical thinking, strong business insight and a passion for customer service, while working in a very fast-paced environment.
Key responsibilities will include:
- Efficiently handle the billback process for an assigned portfolio, (Distributors, Shared Service Organizations and other accounts including sales tracings). Portfolio subject to change dependent on business needs.
- Manage the monthly billback process - some of the key activities include claim files-formatting, loading, validation; processing data; issuing credit memos and variances reports within tight timeframes. Provide coverage for other team members to maintain billback support continuity, as required.
- Research discrepancies, including pricing, error and denials from customers in conjunction with the contracts team
- Ensure claim processing is timely and correct to produce accurate sales reporting. Minimize claim processing errors.
- Working with both distributors and our contract sales specialist teams, you will address claim errors without delay and reconcile claim periods. Manage and supervise the hand-off of contract related errors to ensure correction and processing remains in line with overall schedule.
- Lead communication with all relevant partners by reviewing claim issues, data misalignment, metrics and mitigate against repeat errors and price variances.
- Reconciliation of the monthly Accounts Receivable vs. SAP Vistex Billback balances. Credit and collections with Distributors and coordinate clearing activities with our NASSC team.
- Maintain monthly metrics and service levels to ensure compliance to the schedule and timing for required activities, such as the monthly and yearly closing process, minimum unaddressed year to date claims, claim error rate management, etc. Run sales reports and billback analysis as required.
- Support continuous improvement initiatives to gain system and/or process efficiencies such as system integration, testing, data accuracy improvement projects, etc.
- Assists in developing Key Performance Metrics (KPI’s) and policies
- May be required to work with business units and/or operational functions on special projects, as required.
About you:

- Proven problem-solving and analytical skills, able to make informed decisions, with a critical and strategic approach to influence without authority cross-functionally.
- Strong business sense and passion towards excellent customer service both internally and externally, with the ability to thrive in a fast-paced environment, handling high volumes of data to meet business demands timely and under pressure.
- Possesses stellar communication skills with strong negotiation and conflict resolution skills.
- Excellent organizational and passion for process management and continuous improvement.
- Strong documentation skills including attention to detail, excellent follow-up skills and commitment for excellence.
- Strives for improvement, with a good understanding of contract management, billbacks, and customer support.
Education and experience required:
- University degree.
- 5 years experience including 2 years of relevant professional experience in a finance, customer analytics, accounting, CSR, pricing role working in a large matrix fast-paced organization.
- Proficiency with MS Office tools (word, outlook, etc.), including excellent Excel proficiency (VLOOKUP, SUMIF, Pivot Tables).
- Strong analytical abilities and proficient in working with large subsets of data.
- Proficiency working with an ERP system such as SAP, AS400, JDE, Salesforce, Hyperion, etc.
- Fluency in both English and French (read, write, speak), in French to correspond with distributors in Quebec.
Education, skills and experience preferred:
- Experience with SAP Vistex Billback/Chargeback/Contract Management.
- Billback rebates experience.
