About the role
As an integral part of the end-to-end logistics process, the Outbound Logistics Administration Officer ensures the complete, compliant, and timely preparation of logistics documents and customs declarations for outbound flows through the European Distribution Center (EDC) in Olen, serving the EMEA region. This role aligns with the service level agreement and acts as a key contact for internal and external partners to improve customer experience and optimize OTIF (On Time In Full) performance.
Reporting Line:Reports to the EDC In-& Outbound Administration Manager.
Main responsibilities will include:
Logistics Administration:
- Prepare logistics documents accurately and on time.
- Handle administrative paperwork efficiently for EDC departures.
- Ensure all vital documents (CMR, delivery notes, invoices, customs documents, certificates, dangerous goods documents) are ready before departure.
Stakeholder Communication:
- External:Connect with carriers, customs authorities, and customers, including EDI (Electronic Data Interchange).
- Internal:Collaborate with Customer Care, Trade Compliance Center of Excellence, In & Outbound transport, and warehouse/wave planning teams.
- Act as the gatekeeper for trucks arriving on-site, guiding drivers to the correct gate, handling check-ins, and managing documentation for loading and archiving.
Trade & Quality Compliance:
- Prepare compliant outbound documents.
- Archive compliance files and electronic messages correctly.
- Follow operational processes strictly and report non-conformities immediately.
- Assist in internal and external audits by notified bodies, local Customs Authorities, and external auditors (e.g., Sarbanes Oxley).
KPI Management & Reporting:
- Set up, report, and manage KPIs.
- Ensure compliance with ISO 13485 requirements.
- Maintain up-to-date processes, job descriptions, and work instructions compliant with ISO 13485 guidelines.
- Represent the team in audits.
About you
- Bachelor’s or master’s degree in Logistics, Supply Chain, or equivalent.
- Confirmed experience in Logistics Administration, customs, and transportation planning.
- Strong understanding of end-to-end logistics processes.
- Proficient in analysis and experienced in effectively managing significant metrics.
- Customer-centric and continuous improvement mindset.
- Outspoken, stress-resistant, and flexible.
- Effective communication skills, with the ability to work in a matrix organization.
- Proficiency in Dutch and English, both verbal and written; additional languages are a plus.
- Experience with SAP and QMS (Quality Management System – ISO 13485 / CAPA) is highly desirable
