About the role

The Customer Service Representative will be responsible for processing sales orders, GRVs, consignment billings, replacements, and credit notes, while ensuring timely and professional resolution of customer service queries.

Main responsibilities will include:

  • Process orders, GRVs, consignment billing, consignment replacements and credit notes.
  • Receive, capture, troubleshoot, and resolve customer service claims and provide feedback accordingly.
  • Maintain a positive, empathetic, and professional attitude in all customer interactions.
  • Take ownership of customer queries and respond promptly through various communication channels.
  • Raise unresolved issues to relevant internal teams or managers when necessary.
  • Collaborate and coordinate with cross-functional teams including warehouse, logistics, and supply chain.
  • Keep accurate records of customer interations, transations, feedback, complaints, and compliments.
  • Provide continuous feedback on the efficiency and effectiveness of customer service processes.
  • Build and cultivate sustainable relationships with customers by going the extra mile.
  • Ensure consistent customer satisfaction through professional service delivery.
  • Meet both qualitative and quantitative individual and team targets.
  • Work closely with the warehouse on deliveries, stock availability, receipts, and discrepancy resolutions.
  • Generate and maintain regular service reports.
  • Utilize systems such as JDE, Surgicom, Orderwise, Power BI, SFDC, MS Teams, Excel and Word.

About you

  • National Dip (NQF Level 6) in logistics, supply chain, business management, commerce or a related field.
  • 3 to 5 years in customer experience, preferably within healthcare, pharmaceutical, or medical devices (advantageous).
  • Proficiency in MS Office, Outlook, JD Edwards, and SAP HANA will be an advantage.
  • Prior team lead or supervisory experience is a plus.
  • Strong communication skills with active listening ability.
  • Ability to multi-task, set priorities and handle time effectively under tight deadlines.
  • Highly organized with excellent administrative and record-keeping skills.
  • Self-motivated, customer-centric, and proactive in providing support.
  • Comfortable working under pressure and adaptable to different personality types.
